Doctate ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information in compliance with the Protection of Personal Information Act (POPIA).
When you use our service, you are the "Responsible Party" under POPIA, determining how patient information is processed. We act as the "Operator" on your behalf, processing information according to your instructions and for the sole purpose of providing the service.
We process two types of information: your user details (full name, email address, phone number) for account management, and the clinical information from your voice dictations, which may include patient data as defined by POPIA.
Your information is used exclusively to provide, maintain, and improve our service. This includes transcribing dictations, generating documents, and offering support. We do not use any data for advertising or other unrelated commercial purposes.
We implement robust technical and organisational measures to protect all information. We do not permanently store patient-identifiable information from your dictations; it is processed transiently and securely deleted after generating your clinical note.
We may share information with trusted third-party service providers who assist in operating our service, such as for cloud hosting and transcription. These partners are contractually bound to maintain data confidentiality and security.
As the Responsible Party, you must ensure your use of the service complies with POPIA and HPCSA guidelines. This includes obtaining the necessary consent from your patients to process their personal and special personal information through our service.
We may update this policy periodically. You will be notified of significant changes, and the latest version will always be available on this page.
